POLICIES & PROCEDURES

The following information are answers to many common questions that clients typically have before inquiring. However if you don't see the answers that you need, please feel free to contact us!

 

 

DEPOSITS, FEES & REFUNDS FOR ALL CUSTOM ORDERS:

  • There is a standard non-refundable 50% deposit required for all custom music orders.

    • We assign approximate booking dates, begin pre production or any processing that is required for custom music orders once deposits have been received. Until such time, interaction and communication is strictly considered as an "inquiry" and standard "Q/A". 

    • Single Music Orders (1 customized mix): Once your deposit has been received, we will complete your entire mix from start to finish. However until the full balance is paid, we are unable to send the full high quality versions of your mixes. '​​

    • Multiple Music Orders (2 or more customized mixes): ​​Once your deposit has been received, we will fulfill *half of your orders* (example 2 of 4 team mixes, 4 of 8 team mixes, 5 of 10 team mixes, etc). Upon receiving the first set of your mixes, we require your final balance be brought up-to-date before completing & sending the remainder of your music orders which have been placed.   

  • If a fee is required for an edit/reconstruction request, we can not proceed until it has been paid in full.

  • If you are not satisfied with your music, there is a 24-48 hour time frame after we initially send your music to request a refund on the remaining balance (minus the non refundable 50% initial deposit). Under the circumstances by which we have done everything possible to rectify any issues or concerns and given that all information was submitted by you (as the client) on time (team information, routine counts) that allowed us to do our job efficiently. 

    • We understand creativity is subjective. However there should be a clear understanding on what's best for your gym or teams through proper research before the hiring of any company is done. We trust that between our sample work, policies and procedural information as well as any questions we can answer via email or phone that we provide the best product and service in the industry. 

    • If a client hasn't properly executed our procedures (submitting material late, insufficient information for production, inefficient communication, etc) despite our best efforts to communicate and a mix has been completed, a refund will not be issued. We'll do our best to accommodate any request or changes that are needed. However a refund will not be an option due "poor client communication."

    • If a client hasn't properly executed our procedures (submitting material late, insufficient information for production, inefficient communication, etc) despite our best efforts to communicate, we reserve the right to voluntarily refund your remaining balance (minus the deposit) and terminate our contract before a mix has been completed. We'll certainly work with anyone in the industry. However we reserve the right to work with clients that best suit our business ethics and goals. 

DELIVERY, CUSTOMER DELAYS AND TIME FRAME FOR ALL CUSTOM ORDERS

  • Not including weekends, there is a 14 workday turn-around time once we have confirmed that all necessary information has been received for your production.

  • Our delivery time frame of any production, reconstruction or edits do not go into affect until ALL MATERIAL needed has been received to proceed. This material includes (but not limited to) digital or physical documents (routine sheets, videos, team information, etc), reference files that you'd like us to see or hear (reference audio, other style mixes that you like, etc) as well as your deposit. This is why it's very important to be proactive, diligent and timely when submitting your information. If you are delayed, then your production will be delayed. We will certainly try and accommodate you to the best of our ability if you properly communicate weeks in advance if you will be delayed.

  • All of our pre-production for mixes are completed 2 weeks or more prior to your initial booking date that you are given, especially if you're wanting one of our *PREMIER PACKAGE* mixes. If you have theme concepts, vocal ideas or other creative concepts that need to be reflected in your music, a 15-20 day window before your booking date would be a safe time frame to insure we can incorporate all of your ideas. However if these concepts are received *after* your pre-production has been completed, we will contact you on any additional charges that must be applied. 

    • If you are delayed in submitting your routine, DON'T WORRY! As long as you've paid your deposit, communicated properly within the 20-30 day pre-production time frame as well as given us *NEW* routine submission dates, we are willing to accommodate dates and time frame. 

    • If you have *NEW* vocal/musical concepts that do not fall within the 20-30 day pre-production time frame, please be advised that there will be an extra fee applied to your account in order to have *NEW* pre-production completed. 

    • You can not downgrade a package once we are within a 14 business time frame of your initial booking date. 

  • We will do our best to continuously keep you informed on production dates if you've missed deadlines and have had to reschedule your submission dates. However if you've missed your initial deadlines on submitting required material (information, routines and/or deposit) expect that your new dates will be an approximation time of delivery as their are several clients that are accurate with their initial booking and we have to do our best to guarantee their dates while accommodating your delays.

  • DANCE MIXES THAT ARE NEEDED FOR CHOREOGRAPHY

    • Premier Package: Dance mixes that are needed ahead of time for Premier Packages should have "at least" a 14 day notice before hand. Due to the creative pre-production process, planning as well as filling music copyrights with the government (yes, the United States of America government) protecting our product and clients best interest lawfully is our number 1 priority. 

      • It should be noted that more of our "Premier Package" clients schedule there dance choreography *AFTER* there music has been received (Although it is not mandatory for us to ​do one prior)

    • Packages 1-4: We can accommodate dance mixes that are needed with a 48-72 hour notice as gallery songs are more than likely needed. If there is a specialty customized request, this falls into our "Premier Package" time frame delivery for dance mixes.

 

SONG CHANGES FOR CUSTOM ORDERS - GALLERY SONGS OR "TEAM ORIGINAL SONG MELODIES" (TOSM):

  • For packages 1-3, if notified within 24 hours of music delivery (not when the client first listens; But when music has been sent), "gallery" songs from our company or official outsourced 3rd party companies that are WCM approved can be switched within a 72 hour turn around time. However you will be required to skim through these song galleries to choose your replacement(s) if you haven't already. 

  • For package 4, if notified within 24 hours of music delivery (not when the client first listens; But when music has been sent), "gallery" songs from our company or official outsourced 3rd party companies that are WCM approved can be switched within a 72 hour turn around time. However you will be required to skim through these song galleries to choose your replacement(s) if you haven't already. For your one "team original singing melody" (TOSM), a replacement can be reproduced for a minimal charge of $100 if informed within 24 hours of delivery (not when the client first listens; But when delivered). If requests are made outside of the given 24 hour delivery/review window, there will be a standard charge of $300 per "team original singing melody" song reproduction/replacement. If you prefer a gallery song to replace your "team original" song, we can certainly accommodate you! This way, you won't have to pay for any additional TOSM fees (only gallery change policies will apply). However if you decide to go with a keep in mind that due to the labor that has already been put into your "TOSM" song, we can't deduct or refund from your original fee. 

  • For our PREMIER packages, all songs produced are "team original singing melodies" (TOSM). A replacement can be reproduced for a minimal charge of $100 if informed within 24 hours of delivery (not when the client first listens; But when delivered). If requests are made outside of the given 24 hour delivery/review window, there will be a standard charge of $300 per "TOSM". If you prefer a gallery song to replace your "team original" song, we can certainly do that free of charge! However keep in mind that due to the labor that has already been put into your "TOSM" songs, we can't deduct or refund from your original fee.

SPECIAL TREATMENT CLAUSE:

    

    We at "We Are Cheer Music" view ALL OF TEAMS AND CLIENTS as important and VIP customers. We understand that cheer program owners feel confident in there establishments. However before contacting us, understand we view each team we work with equally valuable to our reputation as the next. As a potential client, if you feel as though there is a status quo you or your program that involves special treatment to where you "are" and "should be" of higher priority than other teams that we service, WCM may not be the best option for you. We reserve the right to work with clients who best suit our companies moral, ethical and professional practices. Again, ALL of our clients are VIP status in our eyes! Although we will work with anyone, we don't work with just "anyone".
